What access am I giving Signivo?
As little as possible, and exactly as much as is necessary. Signivo reads your directory to fill in names, job titles and teams, but it cannot change anything there. It cannot read the emails in your mailbox. The only thing it changes is the signature.
Can Signivo see the contents of my emails in Outlook?
No. Signivo cannot read your mailbox: not your inbox, not your sent mail, not your attachments.
Does Signivo need to be installed somewhere?
No. One admin adds Signivo once in Microsoft 365, and signatures are assigned to teams from there. Outlook syncs them on its own, and nobody on your team installs anything or clicks a setup link.
Which Microsoft 365 admin role do I need to authorise Signivo?
Only a Global Administrator can approve access to your directory in Microsoft 365. The Global Administrator does it once, and never touches it again.
How does a signature end up in the Outlook of all my colleagues?
A signature is designed in Signivo, actively approved by the admin, and pointed at a team. Signivo fills in each person's name, job title and contact details from the Microsoft 365 directory, and the Outlook add-in puts the finished signature into their messages.
Which Outlook apps does this work in?
Outlook on Windows, on Mac and in the browser, on every Microsoft 365 mailbox. Not in the Outlook app on a phone: Microsoft does not run add-ins there, which applies to every signature tool that uses one.
How quickly is a signature distributed when someone joins my team?
Within minutes. As soon as the new colleague appears in your directory, Signivo picks them up and their signature is ready. You can also trigger a sync yourself instead of waiting.
How do I set different signatures by department or location, and what happens when someone moves?
Different groups get different signatures. Allocate one to Sales, one to a location, one to a shared mailbox, and exclude individual people wherever you need to. When a colleague moves to another team, they get that team's signature on the next sync.
